Share Assets with External Users

This action works in conjunction with the Signiant Media Shuttle or Jet applications and allows you to share assets with a user outside of your organization. Recipients can access these assets directly in their email inbox or designated storage.

1. Select the assets you want to share.

2. From the Workflows drop-down menu, select Transfer Asset via Media Shuttle or Transfer Asset via Jet.

3. Enter the recipient’s email address or the Jet Job ID.

4. Select a Content Use (source, proxy, etc.)

5. If using Media Shuttle, enter a task description and expiration date.

   Note: If the asset is not downloaded through Media Shuttle by this date, the external user can no longer access the shared asset.

6. Select Run Workflow.

Request Assets from External Users

If you are working with another company or group that does not use Reach Engine but requires their assets, you can request these assets directly from Access.

1. From the Workflows drop-down menu, select Request Assets Via Media Shuttle.

2. Select an expiration date and time.

3. Select saved emails on Reach Engine to request content from or add new emails not currently stored in Reach Engine.
   1. You can save the new emails you type in for next time by ensuring the Yes is checked on the “Save New Emails to List?” option.

4. If the requested asset should be added to an existing collection, select the collection.

5. Enter a task description.

6. You can also select a metadata form, which will require certain information to be submitted.
   1. The information put on the form will be added as metadata in Reach Engine to every asset ingested via this request.

7. Select Run Workflow.
